Email retention & cleanup

How long messages stick around, what counts as a record, and how to keep your mailbox under quota.

Home / Email retention & cleanup

Staying under quota

Empty large attachments, archive old threads to a local or cloud folder, and let Trash and Junk clear themselves. The mail client's 'sort by size' view finds the few messages using most of your space.

What not to delete

If you've been notified of a litigation hold, a public-records request, or an investigation, stop deleting anything in scope — that applies to students in a governance or employment role too. When in doubt, archive rather than delete.

In and around Porter Falls

The Technology Help Desk is on the first floor of the Jarvis Technology Center. One student identity signs into MyPorter, the learning environment, campus Wi-Fi, printing and the library.

The practical details

Quota: A generous but finite mailbox; you get warnings before sends and receipts stop working. Retention: Routine mail isn't auto-deleted, but items in Trash and Junk purge after 30 days. Records: Email about university business can be a public or academic record — don't delete something that's under a hold or a request. Anything time-sensitive — an accommodation, a booking, a deadline — is worth confirming directly before you rely on it, because the specifics here can change from term to term.

If you have a question

The office behind this is Technology Help Desk (Jarvis Technology Center, Room 105). Call (715) 555–0120 or email helpdesk@uwporterfalls.edu during the fall and spring terms, or sign in to MyPorter to send a message or book a time. If it turns out another office owns the question, they will route it rather than send you back to the start.

Fictional information

UW–Porter Falls is a work of parody. Every office, person, building, phone number and statistic on this page is invented; nothing here describes a real institution or a service you can actually contact.
