One coordinator, the whole logistics

Conference Services exists so an outside or internal group can hold a multi-day event on campus without separately negotiating with housing, dining, the event office, parking, IT, and recreation. A single coordinator builds the package: meeting and breakout space, residence-hall lodging during the summer (and limited options in the academic year), dining from box lunches to banquets, recreation and facility access, parking and shuttle arrangements, event technology and support staff, and a single itemized quote and invoice. It suits academic conferences, professional association meetings, athletic camps, youth academies, band and music camps, and religious or community retreats.

Youth programs — the rules are firm

Any program serving participants under 18 without their parents present must meet the university's youth-protection requirements before it runs: background checks and mandated-reporter and boundary training for every adult in contact with minors, minimum supervision ratios by age, a documented check-in/check-out and release process, an emergency and medical plan, and named responsible staff. This applies to outside renters and university departments equally, and it is not waivable. Build the timeline around it — screening and training take weeks, not days.

Requesting and lead time

Send preferred dates, expected attendance, the mix of meeting space and lodging you need, meal plans, accessibility requirements, technology needs, and a budget range. Minimum lead time is about eight weeks for a straightforward meeting; a large conference, a residential camp, or anything involving minors needs a full semester or more, partly because summer housing and dining are scheduled well ahead and partly for the youth-program clearance. Peak summer weeks book a year out. The coordinator provides a proposal, then a contract with a deposit, insurance requirements, and a cancellation schedule.
