
The spaces
Bookable venues run from a 12-seat seminar room to the 900-seat Heritage Auditorium. In between: the Founders Ballroom (banquets, conferences, receptions), the union's meeting rooms and open lounges, classrooms and computer labs outside class hours, Ironclad Fieldhouse and the gyms for athletic events and large expos, outdoor quads and pavilions, the recreation center pools and courts, and specialized rooms (a boardroom, a broadcast studio, teaching kitchens). Each has a capacity, an equipment list, and photos on the room-reservation site.
Who can book and priority order
Requests are prioritized: credit instruction and university academic needs first, then registered student organizations and university departments, then affiliated groups, then outside community and commercial renters. Student organizations reserve most campus space for free through their portal and pay only for extras (extended custodial, security, specialized AV, catering above a threshold). University departments use an internal charge. External renters pay a published rate card that varies by space and covers staffing, and must carry event insurance naming the university.
What it costs
A small student-org meeting in a union room is typically free. Costs appear when an event needs setup and teardown labor, audiovisual technicians, additional custodial service, Campus Safety officers (required above a headcount or when alcohol is served), parking coordination, or catering, which for most indoor spaces must come from University Catering. The event office gives a written estimate after reviewing your request; there are no surprise charges after the fact if the event runs as planned.
Lead time and getting started
Submit through the event-reservation system with your dates, expected attendance, room layout, and technical needs. Minimum lead times: about two weeks for a simple meeting, four weeks for an event with catering or AV, and eight-plus weeks for a large public event, anything with minors, alcohol service, amplified outdoor sound, or road/parking impact. One event coordinator is assigned to walk you through setup, policy, accessibility, safety, and the timeline. Book early — the ballroom and auditorium fill a semester or more ahead for peak dates.
