Before your first day
Once you accept an offer, Human Resources sends a welcome email with a link to the onboarding portal. Complete these before you arrive, if you can:
- Form I-9, Section 1 — employment eligibility. Federal law requires Section 1 no later than your first day of work.
- Tax withholding (federal W-4 and the state form) and direct deposit.
- Emergency contacts and your mobile number for Porter Alert.
- Personal information for the employee directory (you choose what is published).
Faculty starting in August attend New Faculty Week, which runs the week before classes and includes a teaching workshop and the provost’s welcome dinner. Staff start on any Monday.
Day one checklist
Staff report to the New Employee Welcome at 8:00 a.m. in Millwright Hall 230, which runs until about 11:30; your supervisor picks you up there. Faculty complete the same steps during New Faculty Week.
- Finish your I-9. Bring original, unexpired identity and work-authorization documents (for example, a passport, or a driver’s license plus a Social Security card). HR must examine them and complete Section 2 within three business days of your start date. If you cannot produce documents in that time, you cannot continue working until you do.
- Activate your NetID. Your account is created when HR enters your appointment; you set your password at the session.
- Set up multi-factor authentication on your phone, and add a backup method the same day.
- Get your Porter Card at the card office in Founders Union. It is your ID, building access, library card, and print release; see the Porter Card account. Building access is added by your department within one business day.
- Register for a parking permit in MyPorter. Your license plate is your permit; employee permits are Commuter ($312 a year, payroll-deducted before tax) or Core (by lottery, with a waitlist of about two semesters). The rules are on transportation and parking.
- Book a benefits appointment if you have not made elections; the 30-day clock started on your hire date.
Required trainings
Trainings are assigned in the learning portal on your first day, with due dates. Your supervisor sees completion status.
| Training | Who | Time | Due |
|---|---|---|---|
| Information security awareness | Everyone | 45 min | Within 14 days |
| Discrimination and harassment prevention | Everyone | 60 min | Within 30 days |
| Title IX and mandatory reporting | Everyone | 30 min | Within 30 days |
| FERPA and student records | Anyone with access to student records | 30 min | Before system access |
| Campus Security Authority (Clery) | Coaches, advisors, residence and student-life staff | 40 min | Within 30 days |
| Hazard communication and lab or shop safety | Facilities, lab, and studio staff | 1–3 hours | Before working unsupervised |
| State vehicle driver training | Anyone who drives for work | 90 min | Before first trip |
Information security and harassment prevention repeat each year. Reporting obligations under Title IX are explained on the Title IX page.
The first 90 days
Supervisors use this outline; new employees are encouraged to hold them to it.
First 30 days
- Meet one-on-one with your supervisor each week; agree on what the job is and what a good first year looks like.
- Complete the required trainings and your benefits elections.
- Walk the campus: find your building’s emergency exits and the nearest AED, and ride the Porter Loop once.
Days 31–60
- Take on the core duties of the position with your supervisor checking in.
- Attend a Staff Senate or Faculty Senate meeting to see how shared governance works.
- Have coffee with three people outside your unit whose work touches yours.
Days 61–90
- Work independently on most duties; set three goals for the rest of the year.
- For university staff, the probationary review is at six months; academic staff and faculty follow the review schedule in their letter of appointment.
- Fill out the onboarding survey. HR reads every one, and the Monday start time for the welcome session moved from 7:45 to 8:00 because of it.
Fictional information
UW–Porter Falls is a work of parody. This onboarding process is invented: there is no welcome session, card office, parking lottery, or training portal, and nothing here describes how any real employer onboards staff.
